When you sign up for the Service, we collect:

  • Business name, ABN (if provided), and trade type
  • Contact name, email address, and phone number
  • Business operating hours, service area, and services offered
  • Custom greeting and call handling preferences
  • Payment information (processed securely by Stripe — we do not store card details)
  • Account login credentials (managed via secure OAuth authentication)

2.2 Caller Information (Your Customers)

When someone calls your AI receptionist, we may collect:

  • Caller's name, phone number, and email address (if provided)
  • Details of their enquiry, service request, or appointment booking
  • Call recordings and transcriptions
  • Call metadata (duration, time, outcome)

2.3 Technical Information

We automatically collect:

  • IP address and browser type when accessing the dashboard
  • Usage data (pages visited, features used, session duration)
  • Device information for mobile-responsive optimisation

3. How We Use Your Information

We use the information we collect to:

  • Provide and operate the AI receptionist service
  • Configure your AI agent with your business details and preferences
  • Send you call summaries, appointment notifications, and digest emails
  • Send SMS notifications about calls and appointments (if enabled)
  • Process subscription payments and manage your billing
  • Improve the AI's accuracy and call handling capabilities
  • Provide customer support and respond to enquiries
  • Comply with legal obligations

4. How We Share Your Information

We do not sell personal information. We may share information with:

  • Service providers: Vapi (voice AI platform), OpenAI (AI language model), Stripe (payment processing), Twilio (SMS delivery), and cloud hosting providers — each bound by their own privacy policies and data processing agreements.
  • You (the client): We share caller information with you as part of the Service (call logs, messages, appointments).
  • Legal requirements: We may disclose information if required by law, court order, or to protect the rights, safety, or property of TradieConnect AI or others.

5. Data Storage and Security

Personal information is stored on secure servers. We use industry-standard security measures including encryption in transit (TLS/SSL), encrypted database connections, and access controls.

Call recordings and transcriptions are stored securely and access is restricted to the client account holder and authorised TradieConnect AI staff for support purposes.

Payment information is processed and stored by Stripe in accordance with PCI DSS Level 1 compliance standards. We do not have access to your full card details.

6. Data Retention

We retain personal information as follows:

  • Client account data: Retained for the duration of your subscription plus 12 months after cancellation.
  • Call logs and transcriptions: Retained for 12 months from the date of the call, then automatically deleted.
  • Call recordings: Retained for 90 days, then automatically deleted.
  • Payment records: Retained for 7 years as required by Australian tax law.

You may request earlier deletion of your data by contacting us (see Section 10).

7. Caller Disclosure

As a client, you should be aware that callers to your business number will interact with an AI system. While the AI identifies itself as an AI receptionist, you may wish to update your voicemail greeting or website to inform customers that calls may be handled by an AI assistant.

We recommend including a notice such as: "Calls to this number may be answered by our AI receptionist, which records call details to assist with your enquiry."

8. Your Rights

Under the Australian Privacy Act, you have the right to:

  • Access: Request a copy of the personal information we hold about you.
  • Correction: Request correction of inaccurate or incomplete information.
  • Deletion: Request deletion of your personal information (subject to legal retention requirements).
  • Complaint: Lodge a complaint with the Office of the Australian Information Commissioner (OAIC) if you believe your privacy has been breached.

9. Cookies and Analytics

Our website uses essential cookies for authentication and session management. We may also use analytics tools to understand how the dashboard is used and to improve the Service. Analytics data is aggregated and does not identify individual users.
